Job Overview:

We are seeking a detail-oriented and organized Sales Administrative Assistant to support our sales team with various administrative tasks. This role is crucial for maintaining smooth operations within the sales department and ensuring effective communication and coordination among team members.

Key Responsibilities:

Recurring Sales Tasks:

  • Maintain a bi-weekly attendance list for sales meetings.
  • Review and add all relevant meetings of the week to the project management system with appropriate information and designated assignee and department.
  • Send and compile surveys on behalf of the internal sales team, providing results to the survey requestor and following up on responses.
  • Manage and update the sales agent list, sending out yearly maintenance requests to ensure all contact information is current.
  • Update territory maps as changes occur.

Sales Representative Support:

  • Maintain a running list of redemption requests per agency in a master Excel file and send to relevant processing personnel.
  • Send monthly balance updates to sales representatives.

Designer Training:

  • Create events and links.
  • Maintain a log of designers and corresponding sales reps attending training sessions, noting any cancellations or no-shows.
  • Reimburse designers upon completion of training.
  • Coordinate various tasks related to training events, including creating registration links, ordering certificate holders, scheduling time slots with presenters, and arranging hotel bookings.
  • Order catering for training events and ensure all necessary materials and logistics are in place.
  • Send out surveys to attendees post-training and handle refunds as applicable.

Factory Tours and Visits:

  • Ensure dealer information is provided for visitors.
  • Coordinate the time frame of tours/meetings.
  • Manage guest lists, including internal attendees.
  • Order catering for events and book rooms as needed.
  • Create agendas and send invites to required internal departments and attendees.

Marketing Requests:

  • Open tickets for marketing requests for both internal and external sales needs.

Qualifications:

  • Strong organizational skills and attention to detail.
  • Proficiency in using project management tools and Excel.
  • Excellent communication and follow-up skills.
  • Ability to handle multiple tasks and prioritize effectively.
  • Experience in a sales support or administrative role is preferred.
