Seeking a dedicated and organized Project Management Assistant to support our Head of Purchasing and collaborate closely with the Director of Purchasing.

Job Description:

As the Project Management Assistant, you play a vital role in ensuring smooth operations within the purchasing department and timely project execution. Assist the Head of Purchasing in administrative and organizational tasks to facilitate efficient workflow. Attention to detail and a proactive approach are vital in maintaining productivity.

Responsibilities:

  • Provide comprehensive administrative support, managing the Head of Purchasing’s schedule, appointments, and meetings.
  • Take accurate notes during meetings and ensure follow-up on action items.
  • Coordinate and prioritize tasks, projects, and deadlines for timely completion.
  • Liaise with internal teams and external vendors on behalf of the Head of Purchasing to facilitate effective communication.
  • Prepare reports, presentations, and documentation as required.
  • Maintain confidential files and documents with professionalism.
  • Act as a professional point of contact for internal and external stakeholders.
  • Conduct research and gather data to support decision-making processes.
  • Assist in organizing events, conferences, and workshops for the purchasing department.

Qualifications:

  • Experience as a Project Management Assistant or Administrative Assistant, preferably in purchasing or a related field.
  • Excellent organizational and time-management skills, with the ability to multitask effectively.
  • Strong written and verbal communication skills for clear departmental and external communication.
  • Proficiency in note-taking and maintaining accurate records.
  • Proficient in MS Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant tools.
  • Demonstrated ability to handle sensitive information with utmost professionalism and discretion.
  • A proactive and self-motivated attitude, working well independently and in a team.
  • Flexibility and adaptability to handle changing priorities and deadlines.
  • A positive and professional demeanor with excellent interpersonal skills.
