Our CEO is looking for a highly organized and dedicated Executive Assistant to manage personal and small business financials, focusing solely on financial management rather than typical administrative tasks. Position Overview:
A successful CEO is seeking a dedicated and proactive Executive Assistant to handle and own both personal and small business financials. This role requires a strong background in personal finance management, investment tracking, and bookkeeping. The ideal candidate will have a keen eye for detail and the ability to manage multiple financial responsibilities efficiently, including real estate investments, budgeting, and financial reporting.

The Ideal Candidate:
The ideal candidate is highly organized, detail-oriented, and thrives in managing personal and small business financials. They possess a strong background in personal finance, budgeting, and investment tracking, with proven experience handling executive-level financial matters. This individual is proactive, able to anticipate financial needs, and excels in providing clear financial reports and insights. Their ability to prioritize, manage multiple tasks, and work independently will be key to success in this role. Additionally, they demonstrate strong communication skills and are comfortable managing sensitive financial data. Proficiency in QuickBooks is essential, as the role requires regular use of the software for tracking finances, generating reports, and managing transactions.

Key Responsibilities:

  • Personal Financial Management:

    • Handle all aspects of the CEO’s personal finance, including budgeting, investments, and real estate management.
    • Ensure timely payment and tracking of personal bills (utilities, insurance, household expenses, credit cards, etc.).
    • Maintain and provide regular financial reports and updates to the CEO.
    • Oversee real estate investments, track payments, and manage investment returns.
    • Coordinate charitable donations and manage financial requests related to the CEO’s personal foundation.
  • Business Financial Management:

    • Collaborate with the CEO to set and maintain business goals and objectives.
    • Oversee bookkeeping, generate profit and loss (P&L) statements, and ensure all business transactions are accurately recorded.
    • Provide regular financial updates on the performance of small businesses the CEO is involved in.
    • Handle all financial transactions, including wire transfers and ensuring timely payments.
  • Financial Analysis & Forecasting:

    • Conduct budgeting analysis, financial forecasting, and performance evaluations to provide insights and strategic recommendations.
    • Track investments, monitor spending, and advise the CEO on personal finance matters, including potential risks and opportunities.
  • Administrative & Support Duties:

    • Act as the primary point of contact for financial matters, liaising with banks, financial advisors, and other stakeholders.
    • Maintain and organize all financial documents, ensuring records are accurate and up to date.
    • Assist with administrative tasks related to financial management, such as scheduling meetings, preparing documents, and managing correspondence related to finances.

Qualifications:

  • Proven experience in financial management, personal finance, or bookkeeping for high-level executives.
  • Strong understanding of budgeting, financial planning, investment management, and real estate finance.
  • Proficiency in QuickBooks is required, with experience in generating financial reports and tracking transactions.
  • Strong attention to detail and a high degree of accuracy in financial record-keeping.
  • Excellent organizational and time-management skills, with the ability to multitask effectively.
  • Strong verbal and written communication skills, with the ability to liaise professionally with financial advisors and institutions.
  • Ability to work independently and take ownership of financial responsibilities.
