We are seeking a meticulous and experienced Billing and Purchasing Order Specialist to manage our financial transactions and procurement processes. This role involves setting up wire transfers, handling high volumes of transactions, purchasing, negotiating with overseas suppliers, and ensuring all shipping documents and payments are accurately processed. Proficiency in QuickBooks and strong communication skills are essential for coordinating with brand owners.

Key Responsibilities:

Wire Transfers: 

  • Set up and manage wire transfers, handling a few hundred transactions weekly with precision and efficiency.

Purchasing: 

  • Prepare detailed lists for all purchase orders (POs).
  • Negotiate terms and finalize agreements with suppliers, particularly from China, to ensure the best deals and terms.

Payment Processing:

  • Deposit payments promptly once approved.
  • Verify quantities and prices to ensure accuracy.
  • Execute payments efficiently and correctly.

Document Verification:

  • Ensure all duties and shipping documents are accurate and complete before processing.

Shipping Container Monitoring:

  • Track and monitor shipping containers.
  • Manage payment schedules and ensure all inspections are completed on time.

Financial Reconciliation:

  • Verify financial details on Go-Flow.
  • Ensure all transactions are accurate and match before processing payments.

QuickBooks Management:

  • Receive inventory in QuickBooks.
  • Accurately calculate costs and update records.

Timely Documentation:

  • Ensure Bills of Lading (BOL) are processed on time to avoid any delays.

Coordination with Brand Owners:

  • Communicate regularly with brand owners to resolve any issues.
  • Ensure smooth operations and maintain strong relationships.

Qualifications:

  • Experience: Minimum of 1 year of experience in QuickBooks.
  • International Experience: Experience working with China factories and/or sourcing, purchasing, and negotiating is a must.
  • Skills: Strong negotiation and communication skills, exceptional attention to detail and accuracy.
  • Transaction Management: Experience in managing high volumes of transactions.
  • Teamwork: Ability to work independently and as part of a team.
  • Organization: Strong organizational and time-management skills.
